How to Email a Coach

Contacting a coach can seem like a daunting task. Figuring out what to say and how to say it can take time- something that student-athletes already lack. But don’t worry, we’re here to help. Below is an outline of an email that you can use and personalize to send to college coaches. Feel free to fill in the blanks or use the template as a starting point for an email that you may want to draft yourself. A downloadable PDF can be found on the Resources page.

Here are a few things to remember:

  1. Get straight to the point. Coaches are busy and often do other tasks beyond coaching and recruiting. Concisely give them information about yourself. If they want to know more about you, they will contact you.
  2. If you have a resume, attach it to the email! A resume is the best way to give the coach information about yourself in a condensed format. It allows you to highlight athletic and academic achievements without going into detail in the email. Not sure about how to make a resume? No worries, we have your back!   3. Reread your email for any errors. Grammatical and formatting errors can detract from the image you are presenting to a coach. Proofread your email to ensure there are no distractions.
  4. Don’t worry if you do not get a response. Coaches may not have the chance to respond to every prospective student-athlete. If you believe that you are a good fit for the school and athletic program, it may be worth considering sending a follow-up email a few weeks later or even calling the coach.
    One thing to note are dead periods or periods of no-contact that coaches must abide by. If you happen to email a coach during a dead period, it will take longer to receive a response. Looking for more advice on how to call a coach or how to reach out on social media? Read up here!

Here is an example:

Hi Coach Smith,

My name is [insert name] and I am a swimmer at [insert school name] High School in [insert city and state]. I’m a rising senior and I am interested in continuing my athletic career at the collegiate level.

My stats are 50.3 in the 100m free, 56.3 in the 100m back, and 1.45.2 in the 200m free. My GPA is 3.5/4.

[insert university name] is one of my top choices given the strength of both the academic and swimming programs. I’m looking to stay in [insert location] for college and I believe [insert university name] would be a good fit.

I would appreciate the opportunity to speak further if you are interested. Attached is my resume which has additional information. My phone number is [insert phone number]. Thank you for your time and take care.

Obi Amaechi

Obi Amaechi is a first-generation college student. She began competing in track and field as a middle school student in San Francisco, her hometown. While in high school, she excelled in track and field and held state champion titles in the discus and shotput. She attended Princeton University for her undergraduate degree and completed a fifth year of studies at the University of North Carolina at Chapel Hill where she competed on their track and field teams. At both UNC and Princeton she became the school record holder in the discus. Now, she competes for the Nigerian national team, works in the consulting industry, and is a volunteer assistant coach at Saint Peter’s University.

Ashley Anumba

Prior to high school, Ashley was an all round scholar athlete. She played and excelled in travel basketball, club soccer, and other intramural sports. She began competing in track and field in high school, became a state champion in discus ranking #2 in the nation during her final year. She went on to compete at the collegiate level at the University of Pennsylvania where she graduated on the Dean’s list three times, earned scholar athlete awards, and All-American honors. Ashley is currently pursuing a law degree at the University of Virginia, where she is competing on their track and field team. She is in her final year of collegiate athletics. After graduating, Ashley will be working at a law firm in New York.
